# Inbox

> Answer replies from all your senders, use suggested replies, stop or send held auto-replies, and see how replies change a person's stage.

Inbox holds the replies from all your senders. We draft an answer and you send it.

Opening a chat marks it as read. It sends nothing. When someone replies, the campaign stops for that person, and nothing else goes out to them unless you resume it.

## Find the right chat

| Tab | What's in it |
| - | - |
| **Needs reply** | They wrote last, from a campaign, and you haven't answered or ignored it |
| **Unread** | Chats you haven't opened |
| **All** | Every chat that isn't archived |
| **Sent** | You wrote last and the chat is still open |

A chat leaves **Needs reply** when you answer it, ignore it or archive it. It also doesn't appear there if its sender account is gone or disconnected, if the person is on your team, or if their stage is Lost.

The list refreshes every 30 seconds. To narrow it down, use the search box or the filter button, **All replies**:

* **Starred** shows the chats you starred.
* A tag shows only replies with that tag.
* **More filters** adds **Sender**, **Campaign** and **Show archived**. Archived replies stay searchable, and archiving doesn't change their campaigns. **Clear filters** resets everything.

## Reply tags

We read each reply and give it a tag. A row can also show a stage, its campaign and "Reply sends at" a time if a reply is on hold.

| Tag | Meaning |
| - | - |
| Interested | They want to hear more |
| Wants a call | They asked to talk |
| Question | They asked something |
| Not now | They raised a concern or the timing is off, but it isn't a no |
| Not interested | They said no |
| Out of office | An automatic away message |
| Neutral | None of the above |

### Tag counts

The strip above the list shows each tag and how many chats have it.

* Each number is what the list will show after you pick that tag.
* Counts follow your tab, search, sender, campaign and other filters. They ignore only the tag you picked.
* Tags with no chats don't appear.
* Press a tag to filter by it. Press it again to clear.

### Change a tag

If a tag is wrong, press **Change** next to it in the chat header and pick another, or press **Clear tag**. This sends nothing. Setting a reply to Interested or Wants a call moves the person's stage to Interested and creates a task, as described in [Stages from replies](#stages-from-replies).

## Answer a reply

**1. Open the chat**

If we have a suggestion, it's already in the box. Nothing has been sent.

**2. Edit it, or ask for a new version**

Change anything you like. **Try another** writes a new one. **Shorter**, **Friendlier** and **Propose a call** rewrite it. If the box is empty, press **Write with AI**.

**3. Press Send**

Press **Send**, or ⌘/Ctrl+Enter. It goes out from the sender shown under the box, on LinkedIn. It can't be unsent.

You can attach up to 5 files of up to 15 MB each. For anything bigger, send a link.

**Propose a call** isn't shown on a phone.

### When you can't send

| What you see | Why | What to do |
| - | - | - |
| "Not connected yet" | They haven't accepted your invite. You can message them once they do. | Wait for them to accept |
| "needs to reconnect" | The sender's LinkedIn account is disconnected | Press **Reconnect**. See [Connect LinkedIn](https://docs.b2bsignals.ai/settings/connect-linkedin.md). |
| "We can’t draft replies right now" | Suggestions are unavailable | Write your own. Sending still works. |
| A refusal when you press **Send** | The person is on your [do-not-contact list](https://docs.b2bsignals.ai/people/do-not-contact.md), their company is blacklisted, or the sender is paused | Read the message. It says which one. |
| "LinkedIn is late" | New messages may be delayed | Press **Check now** |

### AI drafts on Free

Free workspaces get 10 AI drafts a day, shared across the workspace. The count resets at midnight UTC. Typing and sending your own replies still works after that. Paid plans and trials that include outreach have no draft limit. See [Plans](https://docs.b2bsignals.ai/getting-started/plans.md).

## Held auto-replies

Some campaigns send simple replies by themselves. The campaign's settings then say "Replies are sent automatically right now."

When such a reply is ready, it waits 10 minutes before it goes out. The box says "This reply sends by itself at" a time, and the row shows it in the list. Until then, you decide:

![Inbox with reply tag counts, a row showing Reply sends at, and a held reply with Don't send and Send now](https://mintcdn.com/b2-b-signals-llc/u5yYe4FZtFc5vtD_/images/workspace/inbox-held-reply.png?fit=max\&auto=format\&n=u5yYe4FZtFc5vtD_\&q=85\&s=9a22fd75d29572ec10a948f1631b072b)

A held reply: the tag strip above the list, the time in the row, and Don't send and Send now in the chat.

| Action | What happens |
| - | - |
| Do nothing | It sends at that time, if the checks below pass |
| **Send now** | It sends right away, after the same checks |
| **Don't send** | It doesn't go out. The text stays in the box for you to edit. |
| Edit the text | The timer stops. Your text stays as a draft and you send it yourself. |
| **Turn off auto-reply** | Auto-reply goes off for the whole campaign, not only this chat. AI drafts keep coming and you send them. The waiting reply stays a draft. |
| **Resume campaign for** this person | The waiting reply becomes a draft and doesn't go out. Their next step goes out on the next working day. |

### What auto-reply will and won't answer

| Tag | What auto-reply does |
| - | - |
| Question, Interested, Neutral | Can send by itself, if we're confident in the answer and the chat is under its automatic reply limit |
| Not now, Wants a call | Writes a draft. You send it. |
| Not interested | Sends nothing and stops |
| Out of office | Writes nothing. The campaign stays stopped for them until you resume it. |

### Checks before a held reply goes out

We check everything again when the 10 minutes end, and again if you press **Send now**.

| If this happened | The result |
| - | - |
| They wrote again | The reply is dropped. A fresh one is prepared. |
| You already replied in this chat | The reply is dropped |
| The conversation moved on | The reply is dropped |
| They're on your do-not-contact list or company blacklist | Nothing is sent |
| You ignored the reply | It becomes a draft |
| Auto-reply was turned off | It becomes a draft |
| The campaign is paused or archived | It becomes a draft |
| The sender is paused or disconnected | It becomes a draft |
| Your subscription payment is overdue | It becomes a draft |
| It's outside the send window, or a sending limit was reached | It becomes a draft |
| LinkedIn didn't accept the message | It becomes a draft you can send yourself |

A held reply that's more than 30 minutes overdue also becomes a draft instead of sending late.

## Other things you can do in a chat

The **⋯** menu in the chat has:

| Menu item | What it does |
| - | - |
| **Resume campaign for** this person | Restarts the campaign that stopped when they replied. Their next step goes out on the next working day. |
| **Ignore this reply** | Takes the chat out of **Needs reply** until they write again. **Undo ignore** reverses it. |
| **Mark as unread** | Puts it back in **Unread** |
| **Star** / **Remove star** | Adds or removes it from **Starred** |
| **Check LinkedIn now** | Looks for new messages right away |
| **Archive** / **Move back to Inbox** | Hides it from the list or brings it back. Its campaign doesn't change. |

Select several rows to **Mark as read**, **Archive**, **Star** or **Mark as unread** in one go. On a phone, swipe a row instead.

## Stages from replies

Replies move a person's [stage](https://docs.b2bsignals.ai/people/stages.md) forward on their own.

| What happens | New stage | Task created |
| - | - | - |
| They reply | Replied | None |
| The reply is tagged Interested, by us or by you | Interested | "Reply to" this person, due in a day |
| The reply is tagged Wants a call, by us or by you | Interested | "Book a call with" this person, due in a day |
| They book through your calendar link, or you set the stage yourself | Meeting | None |

A "Wants a call" tag doesn't move someone to Meeting. Meeting means a time is booked or agreed.

To change the stage by hand, press **Details**. The stage control there offers Replied, Interested and Meeting. A line under it says "Set from their reply" or "Set when you tagged the reply", with **Undo**. **Undo** works only until something else changes the stage, and it leaves tasks as they are.

**Details** also has **Add to list** and **Add to campaign** in its menu.

## When Inbox looks empty

> [accordion] All caught up
>
> Nobody is waiting on you. Press **Review messages** to look at what's waiting for approval.

> [accordion] No replies match
>
> Your search or filters hide everything. Press **Clear filters**.

> [accordion] A reply I expected isn't in Needs reply
>
> Check **All**. The chat may already be answered or ignored, or its sender may be disconnected. Replies that didn't come from a campaign don't go to **Needs reply**. Check **Show archived** under **More filters** too.

> [accordion] No sender connected
>
> You can use Inbox after you [connect a LinkedIn account](https://docs.b2bsignals.ai/settings/connect-linkedin.md). If you'd rather send messages yourself, press **Use this for now** to open [Manual sends](https://docs.b2bsignals.ai/campaigns/manual-sends.md).
